This Refund & Cancellation Policy explains how refunds, cancellations, government fees, service fees, and payment-related issues are handled when you use VisaFiling.com.

By submitting an enquiry, making a payment, sharing documents, or requesting our services, you agree to this Refund & Cancellation Policy.

1. About Our Fees

VisaFiling.com may charge different types of fees depending on the service selected, including:

  • VisaFiling.com service fee
  • Government or official portal fee
  • Payment-processing fee
  • Urgent processing fee, where available
  • Courier, appointment, biometric, or third-party fees, where applicable
  • Additional service charges, where applicable

The VisaFiling.com service fee is charged for our professional support, including document guidance, information review, application preparation, form assistance, case handling, communication, and processing support.

Government, embassy, consulate, official portal, payment gateway, courier, appointment, biometric, and third-party fees are controlled by the relevant authority or provider and may be non-refundable.

2. No Approval Guarantee

VisaFiling.com does not guarantee visa, eVisa, ETA, travel authorization, or entry approval.

Final decisions are made only by the relevant government authority, embassy, consulate, immigration department, border authority, or official visa-processing body.

A refusal, rejection, delay, cancellation, or additional document request from the relevant authority does not automatically qualify for a refund.

3. Refund Eligibility

A refund may be considered in the following situations:

  • A duplicate payment was made by mistake.
  • Payment was received but no work has started on your case.
  • VisaFiling.com is unable to provide the selected service before any application work begins.
  • A technical or billing error caused an incorrect charge.
  • A service was charged but was clearly not available for your passport nationality or destination before work began.

All refund requests are reviewed case by case.

4. Non-Refundable Situations

A refund may not be available in the following situations:

  • Our team has already started reviewing your case.
  • Documents have been checked or assessed.
  • A document checklist has been prepared.
  • Application preparation has started.
  • Information has been entered into an official portal or application system.
  • The application has been submitted to the relevant authority.
  • Government, embassy, official portal, payment-processing, courier, appointment, biometric, or third-party fees have already been paid.
  • The application is refused, rejected, delayed, cancelled, or placed under review by the relevant authority.
  • The customer provided incorrect, incomplete, false, expired, misleading, or late information.
  • The customer failed to provide required documents on time.
  • The customer changed travel plans after work started.
  • The customer decided to apply independently after our work had already started.
  • The customer did not respond to our communication or missing-document requests.
  • The customer was refused entry, denied boarding, or stopped by an airline or border authority after visa issuance.

5. Government and Third-Party Fees

Government, embassy, consulate, official portal, payment-processing, appointment, biometric, courier, and third-party fees are generally non-refundable once paid.

VisaFiling.com does not control government fee changes, exchange rate changes, card charges, bank charges, payment gateway charges, official portal charges, or embassy and immigration authority refund rules.

If a government or third-party provider issues a refund to VisaFiling.com, we may pass the refundable amount to the customer after deducting any applicable bank, gateway, administrative, or processing charges.

6. Service Fee Refunds

VisaFiling.com service fees are generally refundable only if no work has started on your case.

Once our team begins work, including document review, checklist preparation, application preparation, communication, or case assessment, the service fee may become partially or fully non-refundable.

VisaFiling.com reserves the right to deduct a reasonable administrative or processing charge for work already completed.

7. Cancellation by Customer

You may request cancellation by contacting VisaFiling.com in writing.

Cancellation requests must include:

  • Full name
  • Email address or WhatsApp number
  • Reference number, if available
  • Destination country
  • Reason for cancellation
  • Proof of payment, where applicable

If cancellation is requested before any work starts, a refund may be considered. If cancellation is requested after work has started, VisaFiling.com may deduct service charges for work already completed. If cancellation is requested after submission to the relevant authority, government/portal fees and VisaFiling.com service fees are generally non-refundable.

8. Cancellation or Refusal by VisaFiling.com

VisaFiling.com may refuse, suspend, or cancel a service if:

  • Information appears false, incomplete, suspicious, or misleading.
  • Documents appear altered, forged, or unreliable.
  • The customer behaves abusively or unlawfully.
  • The requested service is not supported.
  • The case appears high-risk or outside our service scope.
  • Required payments are not made.
  • Required documents or responses are not provided on time.
  • Continuing the service may create legal, compliance, operational, or reputational risk.

If VisaFiling.com cancels a case before work begins, a refund may be considered. If work has already started, VisaFiling.com may deduct reasonable service, administrative, payment, or third-party charges.

9. Refused, Rejected, or Delayed Applications

Visa, eVisa, ETA, travel authorization, or entry decisions are made only by the relevant authorities.

VisaFiling.com is not responsible for refusals, rejections, administrative delays, security checks, additional document requests, system downtime, embassy or government processing delays, changes in visa rules, border entry refusal, or airline boarding denial.

A refusal, rejection, delay, or additional document request does not make the VisaFiling.com service fee refundable, because our service is for guidance, review, preparation, and processing support — not for guaranteed approval.

10. Payment Gateway, Bank, and Currency Charges

Payment gateway fees, bank charges, card charges, currency conversion costs, and transfer fees may be deducted by banks or payment providers.

VisaFiling.com is not responsible for such charges.

If a refund is approved, the refunded amount may be less than the original amount paid due to payment gateway deductions, bank charges, currency conversion differences, international transfer charges, or administrative and processing deductions, where applicable.

11. Duplicate or Incorrect Payments

If you believe you made a duplicate payment or were charged incorrectly, please contact us as soon as possible.

If confirmed, VisaFiling.com may refund the duplicate or incorrect payment after verification.

You may be required to provide a payment receipt, transaction ID, bank or payment confirmation, screenshot of payment, and the name and contact details used during payment.

Approved refunds may take reasonable processing time depending on the payment method, bank, gateway, or service provider.

Refund timelines may vary depending on local bank processing, international payment processing, payment gateway rules, card provider timelines, verification requirements, and public holidays or banking delays.

VisaFiling.com will make reasonable efforts to process approved refunds in a timely manner.

14. Chargebacks and Payment Disputes

Before raising a chargeback or payment dispute with your bank or payment provider, we encourage you to contact VisaFiling.com directly at support@visafiling.com.

If a chargeback or payment dispute is raised after services have been provided, VisaFiling.com reserves the right to submit relevant service records, communication history, invoices, receipts, application records, and proof of work to the bank, gateway, or payment provider.

15. Travel Bookings and External Costs

VisaFiling.com is not responsible for losses related to flight bookings, hotel bookings, tour packages, event bookings, business meetings, travel insurance, transportation, missed travel dates, or any other travel-related cost.

You should not make non-refundable travel arrangements until your visa, eVisa, ETA, or travel authorization has been issued and verified.
